# GST Registration

GST registration gives a business its GSTIN, the number it uses to charge tax, claim input credit and issue tax invoices. Sanmayu prepares your details and documents, files the application on the GST portal and follows the queries the tax office raises. The tax office decides on the application.

## Who needs GST Registration?

A business needs GST registration when its turnover or the kind of supply it makes requires one, and many buyers will not deal with an unregistered supplier.

- **Manufacturers and traders**Selling goods above the threshold or across states.
- **Importers and exporters**Who need a GSTIN for customs filings and refunds.
- **Service businesses**Whose clients ask for tax invoices with input credit.

## Why does GST registration ask for Aadhaar authentication or a Kendra visit?

After the application is submitted, the signatory signs and submits it, the portal validates the PAN and then asks promoters and the primary authorised signatory to authenticate, either by an OTP link sent to the mobile number and email in the form, or, where biometric authentication applies, by booking a slot at a GST Suvidha Kendra. The Application Reference Number is generated only when this step is complete for every person selected.

## Which products or businesses does this apply to?

Businesses whose supplies, turnover or location require registration, and those that choose to register. Whether you must register is for an expert to confirm.

## How does GST Registration work?

The stages, from your documents to the decision. The right-hand column is what most often slows each stage.

**How does GST Registration work?**

| Stage | Who acts | What happens | What can hold it up |
| --- | --- | --- | --- |
| 1 · Registration type | Sanmayu with you | Whether you must register, and as a regular, composition or casual taxable person | Registering under the wrong category |
| 2 · Documents | You | PAN, constitution proof, signatory photographs and authorisation, and proof of each place of business gathered | Names and addresses that differ between documents |
| 3 · Part A | Sanmayu with you | PAN, mobile number and email of the primary authorised signatory entered and verified by OTP; a Temporary Reference Number (TRN) is issued | A mobile or email that is not the signatory's own |
| 4 · Part B | Sanmayu | The application form completed on the GST portal: business details, promoters, signatory, places of business, goods and services | The draft lapses if it is not submitted before the expiry date shown |
| 5 · Sign and submit | Authorised signatory | Application signed with a DSC (compulsory for companies and LLPs), e-Sign or EVC and submitted; the portal validates the PAN | A DSC that is not registered on the portal |
| 6 · Aadhaar authentication | Promoters and signatory | OTP link by email and SMS, or a slot at a GST Suvidha Kendra where biometric authentication applies; the Application Reference Number (ARN) is generated only when this is complete | A missed link or Kendra visit means no ARN is generated |
| 7 · Verification | Tax office | Application examined; a notice asking for clarification or documents may be raised | Queries on premises or documents |
| 8 · GSTIN issued | Tax office | Registration certificate issued, or the application rejected | Rejection that needs a fresh application |
| 9 · After grant | Sanmayu with you | Bank account details added through a non-core amendment, which the portal prompts for at first login; the GST rules require them within the period they set | Missing the duty, which can lead to the registration being suspended |

## Which documents are needed for GST Registration?

**Documents and why they are asked for**

| Document | Why it is needed | Common problem |
| --- | --- | --- |
| PAN of the business or proprietor | Mandatory; registration is tied to the PAN and the legal name must match it | Name differs from the PAN database |
| Proof of constitution | Partnership deed, trust deed, certificate of incorporation or equivalent shows the legal form | Deed or certificate not current |
| Photograph of each promoter and the authorised signatory | Uploaded in the format the portal accepts | Wrong file type or size |
| Authorisation of the signatory | Letter of authorisation, or board or committee resolution with acceptance letter | Not signed or not on record |
| Proof of the principal place of business | Property tax receipt, electricity bill, rent or lease agreement, consent letter or a government-issued document | Rent agreement or owner's consent missing |
| Proof of any additional place of business | The same kinds of proof, for each extra location | Extra locations left out of the application |
| Mobile number and email of the signatory | Separate OTPs for the application are sent to these | Not reachable when the OTP arrives |
| Bank account details | Optional on the application; added after grant through an amendment, which the GST rules require within the period they set | Account not in the business name |

## Does filing late change the effective date of registration?

Yes. For a regular taxpayer, registration takes effect from the date the liability to register arose if the application is filed within thirty days of it. If filing is later, the date of liability stays the same but registration takes effect from the date it is granted. A casual taxable person applies at least five days before starting business.

## What commonly holds GST Registration up?

- **Authentication not completed**Without the Aadhaar OTP or Kendra step, no ARN is generated and the application does not go to the tax office.
- **Premises proof**The tax office can ask for proof of the place of business, and consent from the owner is needed where the premises are not yours.
- **Wrong category**A regular and a composition taxpayer follow different rules, so settle the type before you file.
- **Mismatched details**The legal name must match the PAN and the constitution is checked against it; differences lead to queries.

## Regular, composition or casual: which registration do I apply for?

The same application form is used for all of them. A regular taxpayer can opt for the composition levy in the Business Details tab if likely turnover stays below the limit for it, and a casual taxable person is one who occasionally supplies in a state where there is no fixed place of business. Choosing the type is the first step we settle with you, because the rules that follow differ.

## GST Registration: common questions

**Q: What is a GSTIN?**

A: It is the registration number the GST portal issues to a registered business, used to charge tax, claim input credit and issue tax invoices.

**Q: Do I need a digital signature to apply?**

A: Companies and LLPs must sign with a DSC. Other applicants can sign with a DSC or an EVC.

**Q: Do I register separately in each state?**

A: Registration is applied for state by state. The portal first lists every GSTIN already linked to your PAN, so you can see what exists.

**Q: What if the tax office asks for clarification?**

A: You receive a notice in the portal and reply by filing the clarification with supporting documents. We prepare the reply with you.

**Q: Are bank details needed to file?**

A: Not to file the application. Bank details are optional there and are added through an amendment after the GSTIN is granted. After grant, Rule 10A of the GST rules requires them within the period the rules set, and registration can be suspended if that is missed.

**Q: Can I register voluntarily?**

A: Yes. The application records the reason for registering, and voluntary registration is one of the options.

**Q: How much does it cost?**

A: The portal charges no fee; our service is quoted by a named contact after review. Your first consultation is free.

**Q: Do you file my returns?**

A: This page is about registration. Ask a named contact if you want help with returns.
