# ISO Certification

ISO certification shows that an organisation runs a management system, such as quality under ISO 9001 or environment under ISO 14001, that an independent certification body has audited. ISO itself does not certify anyone. Sanmayu helps you prepare the documents, run the internal checks and arrange the audit. The certification body issues the certificate.

## Who needs ISO certification?

Buyers, tenders and exporters often ask for an ISO certificate before they place an order.

- **Manufacturers**Asked for ISO 9001 by customers or procurement teams.
- **Service businesses**Bidding for tenders that require a certified management system.
- **Exporters**Whose overseas buyers expect an audited system.

## Who issues an ISO certificate?

Not ISO. ISO publishes the standards but does not perform certification, issue certificates or permit its logo to be used for certification. An external certification body audits you and issues the certificate, and an accreditation body checks that the certification body is competent. In India, NABCB accredits management system certification bodies.

**Certification body**Audits your management system and issues the certificate.

**Accreditation body**Recognises that the certification body works to international standards. Accreditation is not compulsory.

## Which products or businesses does this apply to?

Organisations of any size that want an audited management system. Certification is voluntary, so which standard fits your business, and whether your buyer accepts it, is for an expert to confirm.

## How does ISO certification work?

Ten stages, from choosing the standard to keeping the certificate. The right-hand column is what most often slows each stage.

**How does ISO certification work?**

| Stage | Who acts | What happens | What can hold it up |
| --- | --- | --- | --- |
| 1 · Standard choice | Sanmayu with you | Which ISO standard your buyers and operations call for | A standard chosen without checking what buyers accept |
| 2 · Scope and context | Sanmayu with you | Sites, activities and interested parties defined for the certificate | Scope too wide or too narrow |
| 3 · Gap review | Sanmayu | Current practice compared with the standard | Practices that exist but are not written down |
| 4 · System and documentation | Sanmayu with you | Policy, objectives, procedures and records prepared and put to use | Documents that nobody follows |
| 5 · Internal audit | You with Sanmayu | A trial audit of the whole system | Findings left open before the real audit |
| 6 · Management review | You | Leadership reviews performance and records decisions | No decisions recorded |
| 7 · Certification body | You with Sanmayu | An accredited certification body chosen and the audit arranged | A body whose accreditation buyers do not recognise |
| 8 · Stage 1 audit | Certification body | Documentation and readiness reviewed, in the stages the certification body's procedure sets | Gaps found that need fixing before stage 2 |
| 9 · Stage 2 audit and decision | Certification body | Implementation audited; nonconformities closed; certificate decision made | Nonconformities that need corrective action |
| 10 · Surveillance and recertification | You | Periodic audits keep the certificate valid | Surveillance audits missed |

## Which documents are needed for ISO certification?

**Documents and why they are asked for**

| Document | Why it is needed | Common problem |
| --- | --- | --- |
| Business and scope description | Defines what the certificate covers | Scope too wide or too narrow |
| Context, risks and opportunities | Show the system fits the business | Generic text not tied to the business |
| Policy and objectives | Set direction and measurable aims | Objectives that nobody tracks |
| Procedures and documented information | Show how the system works | Copied text that does not match practice |
| Records of operation | Prove the system is in use | Records kept for too short a period |
| Competence and training records | Show staff can do the work | No record of who was trained |
| Internal audit report | Shows the system was checked | Audit not independent of the work audited |
| Management review minutes | Show leadership involvement | No decisions recorded |

## ISO 9001:2026: what changes for certification?

ISO 9001:2026 is now the current edition and replaces ISO 9001:2015. Organisations certified to the 2015 edition have three years to move to the new one and do not need to start the certification process again. ISO advises agreeing the transition plan with your certification body, which will explain the timelines for your organisation.

## What holds ISO certification up?

- **Paper system**Auditors check practice, not only documents.
- **Unrecognised body**A certificate from a body buyers do not recognise loses its value.
- **Surveillance audits**The certificate stays valid only if the periodic audits are passed.
- **Edition change**A certificate to an older edition needs a planned move to the current one.

## How do I check an ISO certificate is genuine?

Ask which certification body issued it and whether that body is accredited. For an accredited certificate, you can verify it on the IAF CertSearch database or by contacting the certification or accreditation body. In India, NABCB publishes its list of accredited management system certification bodies. Complaints about false claims go to the certifying body first.

## ISO certification: common questions

**Q: What is ISO certification?**

A: An independent certification body audits your management system against an ISO standard and issues a certificate if it conforms.

**Q: Does Sanmayu or ISO issue the certificate?**

A: Neither. The certification body issues it. We prepare you for the audit and coordinate it.

**Q: Which standard do I need?**

A: ISO 9001 covers quality, ISO 14001 environment, ISO 45001 health and safety and ISO 27001 information security, among others. Your buyers' requirements decide.

**Q: Is ISO certification mandatory?**

A: No. It is voluntary, though a tender or a buyer may ask for it.

**Q: Which documents are needed?**

A: Scope, policy and objectives, procedures, operating records, an internal audit report and management review minutes. See the table above.

**Q: Does the certificate expire?**

A: It is valid for a set cycle with periodic surveillance audits. The body confirms the terms.

**Q: How much does it cost?**

A: The certification body's fees and our service. A named contact quotes after review. Your first consultation is free.

**Q: Is ISO certification a product approval?**

A: No. It certifies a management system, not a product. Products need their own approvals.
