Who needs Import and export logistics?
A shipment that crosses a border passes through several hands. One coordinator keeps the documents and the handovers consistent.
- ImportersBringing in goods from overseas suppliers.
- ExportersShipping to overseas buyers.
- Brands with mixed consignmentsCombining goods that need different approvals.
Why do the terms of sale matter before booking freight?
The terms agreed with your supplier or buyer decide who books and pays for each leg, who insures the goods, and where the risk passes. A gap here is the usual reason a shipment is booked twice or not at all. We read the terms first and then build the booking and documents around them.
Which products or businesses does this apply to?
Sea and air freight for imports and exports. The route and mode for your goods needs a short review.
How does Import and export logistics work?
The stages, from your documents to the decision. The right-hand column is what most often slows each stage.
| Stage | Who acts | What happens | What can hold it up |
|---|---|---|---|
| 1 · Shipment review | Sanmayu with you | Goods, terms of sale, origin and destination understood | Terms of sale that leave a gap in who arranges what |
| 2 · IEC and approvals | Sanmayu with you | IEC confirmed, and any BIS, WPC, LMPC or EPR approval the goods need identified | A required approval that does not exist yet |
| 3 · Mode and booking | Sanmayu with carriers | Sea or air chosen and freight booked | Space or schedule changes |
| 4 · Documents | Sanmayu with you | Invoice, packing list and transport document prepared and checked against each other | Documents that disagree |
| 5 · Insurance | Sanmayu with you | Cover arranged for the goods in transit where the terms of sale need it | Cover that does not match the terms of sale |
| 6 · Customs filing | Sanmayu | Bill of Entry or Shipping Bill filed electronically through the customs broker | Filing errors and amendments |
| 7 · Transit and port | Carrier and terminal | Goods move to the port, airport or ICD and wait for release | Storage charges building up |
| 8 · Clearance | Customs | Assessment, duty, any examination and release | Queries on value or classification |
| 9 · Delivery | Carrier | Goods moved to the consignee | Access and scheduling at the delivery address |
Which documents are needed for Import and export logistics?
| Document | Why it is needed | Common problem |
|---|---|---|
| Commercial invoice | Describes and values the goods | Value questioned by customs |
| Packing list | Shows what is in each package | Counts that do not match the invoice |
| Transport document | Bill of lading or airway bill for the booking | Consignee details incorrect |
| IEC | Needed for customs filings; issued by DGFT against your PAN | Not yet issued. IEC Code and DGFT |
| Certificate of origin | Needed to claim a trade-agreement duty rate | Wrong format for the agreement |
| Insurance cover | Protects the goods in transit | Cover that does not match the terms of sale |
| Product approvals | BIS, WPC, LMPC or EPR where the goods are regulated | Held at the port without them. Find my certification |
Sea or air for my goods?
Air is chosen when urgency or the value of the goods outweighs freight cost, and sea when volume and cost matter more. Regulated goods, such as wireless or electrical products, need their approvals ready for either route. We lay out both options for your shipment and the paperwork each needs.

What commonly holds Import and export logistics up?
- Terms of saleThe agreed terms decide who arranges and pays for each leg.
- Held cargoMissing approvals or mismatched documents hold goods at the port.
- Storage chargesCharges grow daily when documents or pickups wait.
- No IEC yetCustoms filings cannot start without an IEC for the importer or exporter.
Do I need an IEC to import or export?
DGFT states that no export or import of goods may be made without an Importer-Exporter Code unless specifically exempted. For services exports it is not needed unless the provider takes benefits under the Foreign Trade Policy. To apply, the firm needs a PAN, a bank account in the firm's name and a valid address. DGFT requires the IEC to be confirmed or updated online each year in April to June, and deactivates it until it is updated if that is missed.
